Maintenance & Warranty

Maintenance records

Every service visit, repair and part replacement is recorded against the asset: dates, cost, and the supplier who did the work. Two payoffs:

  • Repair-or-replace stops being a guess. When the walk-in freezer's maintenance history shows four calls this year totalling half a new unit's price, the decision writes itself — and the history is sitting right under the asset's book value for comparison.
  • Supplier accountability. The same fault recurring after the same vendor's visits is visible as a pattern, not a feeling.

Record maintenance as it happens, from the asset's detail page. A history entered at year-end from memory answers no questions.

Warranty

Assets carry their warranty period, and the system surfaces expiring and expired warranties — so the espresso machine's compressor gets its free repair before the warranty lapses, not the invoice after. Check the warranty list monthly; the week before an expiry is the right time for that nagging small fault to become the manufacturer's problem instead of yours.

Habit: staple the asset's ID to the physical machine (a label or QR) so the person calling the technician can pull its history and warranty status in one lookup.
