Staff, Positions & User Groups

Staff in the main menu opens Employee Management — the register of the people who work in your restaurant. In MahirRMS a staff member is a login user: the Staff screen and the Users screen (Staff → User) are two views of the same person, one leading with the employment record, the other with the login and its controls.

Employee Management — the staff register

The employee list

Every person appears with their branch, employee code, position, contact details, hire date and status, grouped by position. From the row you can:

  • View a read-only profile card, or Edit the full combined form.
  • Enable / disable the person — disabling keeps their history but ends their access.
  • Transfer them to another branch, with a history of previous transfers.
  • Select several people and Bulk Update shared settings in one edit.

The add/edit form covers three layers in one place:

  • Identity & login — name, email, username, password, optional PIN code and RFID card for fast POS sign-in, profile picture.
  • Employment — position, employee code, phone, address, ID number, emergency contact, blood group, date of joining, and (for kitchen staff) the departments they cook for.
  • POS defaults & scope — default order type and POS layout, where they land after login, which order types, categories, payment methods, tables and locations they may use, their maximum sales discount, receipt printer, and date locks that stop back-dated entries.

Behind the scenes each staff member also gets their own ledger account under a parent head you choose, and a monthly credit limit — which is what lets staff purchases go on credit at the POS and appear later in the Staff Wise Due report.

Positions

Employee Position is the designation list — Chef, Manager, Waiter, Cashier, Purchaser, Delivery Boy and so on. A position is more than a label: it shapes what the system expects of the person (a chef lands on the kitchen display, a rider on the delivery screen, a cashier is scoped to till work), and the cash custodian flag marks positions trusted to hold cash for handovers.

User groups

A user group is a reusable bundle of the POS defaults and scopes above. Define "Floor Cashier" or "Delivery Dispatcher" once, assign the group, and a new hire inherits forty settings in one step instead of being configured field by field.

Devices & sessions

From the Users screen, Devices & Sessions lists where each account is signed in, and lets an administrator sign out one device or all of them — the first thing to reach for when a phone goes missing. Each user row also shows last login/logout and IP, and per-user date locks control how far back they can post or edit entries.

Roles and permissions — what each of these people may do — are covered in Roles & Permissions.
